The project

Built for the people
behind the boats.

A boat club runs on much more than a website. There are berths to allocate, boats to lift, fees to collect and members to keep informed.

Stocksunds Båtklubb wanted to move on from WeUnite, a portal built around sports clubs. The brief was to create a digital experience that fits the club’s own way of working, from a member’s first application to the administration of a season at the harbour.

We designed and built a new public website, a personal member portal and a connected administration system. Three parts of one platform, shaped around the same club.

The challenge

The club had its own rhythm.
Its system needed to follow.

Joining a club is one thing. Managing a boat, a berth, an insurance certificate and a winter storage booking is another. The new platform needed to understand how those things belong together.

The starting point was the work itself: what members need to do on their own, what the office needs to see, and what the harbour team needs to plan. That meant looking beyond the public website to the everyday tools underneath it.

The whole membership, in one view.

Applications and member records sit alongside boat details, insurance information and membership status. Staff can open a member’s full view to find their invoices, bookings, reported issues and activity history.

Berths & the waiting list

The harbour, connected to its members.

Berths are organised by pier, dimensions and status, with allocation linked to the member record. Members can register their interest in a berth and see their waiting-list position in the portal.

Bookings & winter storage

Built around the boating season.

The club can open haul-out days with time slots and capacity limits. Members book through the portal, with a valid insurance certificate required. Staff also manage service requests and winter storage records.

Invoices, deposits & balances

A clearer picture of club fees.

Staff can create invoices, generate annual fees and follow payment status. Deposits, credits and balances stay connected to the member. Members can see their own invoices in the portal.

News, events & communication

Club life, kept together.

News, event registrations and shared documents are managed in the same platform. Email and SMS tools support member segments, so staff can prepare messages for the relevant groups. Delivery depends on the club’s messaging setup.

Guest berths & issue reporting

The day-to-day details matter.

Guest berth administration sits alongside the club’s own berth records. Members can report issues with their berth or pier, and staff can track each report from open to resolved.

Getting a boat ashore
starts online.

A haul-out booking shows why the connections matter.

  1. The club opens a haul-out day

    Staff set the time slots and capacity for the day.

  2. The member chooses a time

    The portal checks for a valid insurance certificate covering the haul-out date before accepting the booking.

  3. The harbour team gets the roster

    Bookings appear in the administration view, ready for the team to review and manage.

A workflow built into the platform. Online payment for haul-out bookings is a separate launch step.

The data migration

A new system.
The club’s history, carried forward.

Moving the website was only part of the job. The people, boats and berth records behind it needed a new home too.

We imported the club’s existing member and harbour registers into a database built around its operations. Memberships, boats, berth allocations and deposits could now be connected, with checks to catch missing links and inconsistent records.

A migration that could be checked.

Imports match existing records and can be run again without creating duplicates. Dry runs and follow-up checks made it possible to review changes before committing them and verify the result afterwards.

Access with clear boundaries.

Member and administrator access are separated. Members access their own records, while administrative changes are logged so the club can trace who changed what.

The foundation

Designed on the surface.
Connected underneath.

The public website, member portal and administration panel share a backend built around the club’s members, boats, berths and bookings. The same information can serve the member checking an invoice and the office answering a question about it.

The website runs on Cloudflare Pages, with an API on Cloudflare Workers, a D1 database and R2 file storage. Authentication separates the member and administration experiences, while an audit log records administrative changes.

Just as important, the club can manage news, events and documents itself. The everyday publishing work belongs with the people who know what is happening at the harbour.

The next chapter

A platform shaped
around the club.

The new platform brings the public website and the club’s operational tools into one connected system.

Members have a dedicated place for their own club affairs. Staff have connected views of memberships, harbour operations and finances. The club has a foundation it can continue to develop around its own needs.

Project status

Built. Being prepared for launch.

The project is in its final stages. Payment and messaging services, accounting connectivity and the domain switch depend on the club’s setup and launch decisions. The visual harbour plan is being developed as a further layer.

Operational results will be evaluated after launch.
